Collections

Collection screen is used to follow-up the customers for pending payments. In the collection process, the customers having debit account balances are identified and their accounts are moved to different collection stages. For each collection stage, some predefined actions are performed asynchronously. Through collections screen, the actions like suspend/reactivate a contract, move a customer to active stage when payment is done, charge for reconnection, and adjustments when a process is suspended are performed.

To follow-up for payments:

  1. On the Receivables module, click Collections, and then click Collections.

  2. The screen displays various filters such as Customer #, Customer Type, Collection Stage, Due Amount range, Operational Entity, and Days from Last Stage range etc. Enter the information in the above optional filters based on which defaulter customers list should be extracted.

  3. Click the Search button to view list of defaulter customers in various collection stages depending on the specified search criteria.

  4. To move each individual customer to a certain stage select check box against the customer in Collection Details grid.

  5. In the Change to Stage drop-down, select the required collection stage to which you want to move the customer.

  6. In the Reason drop-down, select the reason for which you are moving the customer to the selected stage.

  7. In the Followup Date box, select the date on which the follow up should be done.

  8. In the Collection Stage column, click to navigate to List of Bills screen.

  9. To move all the customers in the list to a certain stage (at a time), select the check boxes against Customers you want to move to a certain stage. Select the required collection stage from Mark Selected Customers As drop-down. Select relevant reason from the given drop-down.

  10. Select payment follow-up date in Collection Date field and enter Notes, if any.

  11. Click the Save button to move the customers to the selected stages.

Note: The customer is moved to active stage immediately after paying the due amount.
